Office Manager Position

Bay Shore Community Congregational Church is looking for an office manager to oversee operations of office duties. This is a part-time, 28-hours/week position. The office manager is responsible for church communications including receptionist duties, the creation of worship bulletins, newsletters, mailings, and social media. Serve as liaison with groups/individuals who use the church property. Maintain membership database. Handle mail, office appearance, copying, and filing duties.

Responsibilities and Duties

ADMINISTRATIVE DUTIES • Function as the point of contact for all administrative church needs. • Greet visitors, answer the phone and maintain a voicemail system. • General administrative functions including incoming and outgoing mail response, inventory and supply purchase, and maintenance and service of office equipment as needed. • Provide assistance for general church queries. • Provide administrative support to pastors, staff, and lay leaders. • In consultation with staff and lay leaders, maintain the online church calendar of events, coordinate all aspects of event planning and, as appropriate, collect fees for facility use by church groups, weddings, and outside organizations. • Maintain control of keys for building use. • Maintain the computer database of church members and visitors. • Maintain all church files (digital and hardcopy). • Maintain records of membership, as well as current and historical files of the minutes of the Board of Stewards, boards, and commissions. • Coordinate weekly flowers for worship. • Participate in weekly staff meetings. • Record attendance and initiate visitor follow-up correspondence. • Perform other duties as assigned.

FINANCIAL DUTIES • Prepare paperwork for bills and mark incoming receipts. • Maintain files of all vendors and outside groups who use the facilities. • Assist treasurer and bookkeeper as requested. Process timesheets for payroll.

COMMUNICATION DUTIES • Prepare and produce all worship bulletins and inserts. • Prepare and distribute the weekly church newsletter (electronically and in print). • Maintain church website and social media pages. • Place advertising for church worship and special events in appropriate print media. • Write and produce or oversee the production of other printed materials as needed.

Qualifications and Skills

Must have superlative people skills. • Commitment to honoring church mission and priorities. • Ability to work independently • Ability to balance competing demands and to prioritize and meet deadlines. • Excellent writing and editorial (proofreading) skills. • Well-developed communication skills in written and spoken English. • Ability to deal with member requests and volunteers in a professional, friendly and welcoming manner. • Ability to provide appropriate responses to people in crisis or grief. • Ability to maintain confidentiality. • Technical proficiency (Microsoft Office, Mac OS, online applications, social media, and databases). • WordPress website management experience preferred. • Willingness to learn other skills as necessary. • Ability to pass a background check.

Benefits

This is a part-time position paid at a flat hourly rate. No other benefits apply.

Job Type: Part-time

Pay: $14.00 – $15.00 per hour
